It summarizes, drafts, analyzes, and searches — drawing on the content in your own Microsoft account: mail, documents, calendar, chats. That access to the work context is exactly what separates Copilot from a general-purpose chatbot.

Technically, Copilot runs on OpenAI’s frontier models. Since July 2026, GPT-5.6 is the preferred model in Word, Excel, PowerPoint, and Copilot Chat (source: Microsoft, 2026). Copilot’s value shows up where people already work. In Word, the assistant drafts passages and rewrites. In Excel, it helps with formulas, analysis, and interpreting data series. In Outlook, it summarizes long threads and suggests replies. In Teams, it captures meetings, extracts tasks, and answers questions about the conversation.

The real strength is not any single feature — it is reach. Microsoft 365 counts around 450 million commercial seats (source: Microsoft, 2026). For those organizations, Copilot is not an extra tool to roll out, but a function inside software already in use.

Copilot is a paid add-on, not a free feature. The enterprise plan costs $30 per user per month on an annual commitment (source: Microsoft, 2026). For smaller companies, the business plan runs about $21 per seat per month, with a temporary promotional price of $18 between July and September 2026.

The total price is what counts: Copilot requires a qualifying Microsoft 365 base license. The combined per-seat cost is therefore often well above the add-on price alone. Anyone budgeting for Copilot should count the sum of base and add-on license — and ask how many seats are actually used in practice. EU Data Boundary, Flex Routing, and GDPR

For data privacy, the baseline commitment holds first: for business customers, prompts and outputs are not used for model training. Copilot data falls under Microsoft’s Enterprise Data Protection and its data processing agreement. These commitments apply to commercial access, not to free consumer variants — a distinction OpenAI and ChatGPT draw too.

New and important is a 2026 change: with so-called Flex Routing (Microsoft message MC1269223, April 2026), Copilot requests from the EU and EFTA can, under capacity demand, also be processed outside the EU Data Boundary — enabled by default depending on configuration (source: Microsoft Learn, 2026). Verdict: who Copilot pays off for

Copilot fits best for organizations already on Microsoft 365 that want to embed AI where work happens — in mail, documents, and meetings. The integration advantage is real and the entry barrier low, because no new software has to be introduced.

Copilot fits less well when the organization runs on Google Workspace or another ecosystem — there the advantage lies with Google Gemini or standalone tools. And regardless of provider: the license is the easy part. Without a defined workflow and clear ownership, the Implementation Gap remains — and then Copilot costs $30 a seat without landing on the balance sheet.
